🔔Quote follow-up tool guide

Follow up on a pending quote

The Quote follow-up tool writes the follow-up message to send after a quote left with no reply, neither weak nor pushy. This is the text message: the priced quote itself is created in the Quotes tool. You will find it in your Client area, via Dashboard, then Trade Assistant.

Good to know. The trade Assistant is included from the Starter plan (the Solo plan gives access to the editorial kit only). Each generation uses 1 of your plan's monthly quota.

1

Open the trade Assistant and select your trade

Go to your Client area, via Dashboard, then Trade Assistant. First, select your trade from the list and click Save. This is what lets the agent write with the vocabulary and tone of your industry.

Tip. The quota counter at the top shows how many generations you have left this month. Each generation uses one, whatever the tool.

2

Choose the "Quote follow-up" tab

In the trade Assistant, open the Quote follow-up tab. Each tab is a dedicated writing tool.

3

Specify the quote, the client and the delay

Tell the agent which quote it is (the client, the service) and how long it has been pending. You can add a useful detail, like an upcoming appointment or a deadline getting close.

What you specify

Renovation quote for Mr Martin, sent 10 days ago, no reply.

The suggested follow-up

"Hello Mr Martin, I am getting back to you about the renovation quote sent on the 3rd. Any question or adjustment to plan? Happy to talk it through."

Tip. Give the elapsed time ("sent 10 days ago"): that is what lets the agent tune the tone, from a gentle reminder to a firmer follow-up.

4

Generate the variants

Click Generate. The agent gives you several variants in seconds, so you can pick the one that sounds most like you.

Tip. Not sold on a variant? It is only a starting point, you will be able to adjust it in the next step.

5

Copy, regenerate or adjust the tone

Once you have spotted the right variant, you can:

  • Copy the text in one click.
  • Regenerate for new suggestions.
  • Adjust the tone: shorter, warmer, more direct.

All that is left is to use the text, by pasting it into your email or your text message to the client.

Tip. You always have the final say. Nothing is sent or published automatically, the agent prepares the text, you decide when and where to use it.

Bonus tips

1

Follow up at the right time

Too early feels pushy; too late and the project has gone cold. Tell the agent how much time has passed, it tunes the message to match how old the quote is.

2

Recall the value, not just the price

A good follow-up rekindles interest rather than demanding a reply. Adjust the tone to highlight what the client gains, without dwelling on the amount.

3

Leave a door open

End on a simple question (a doubt to clear, a possible tweak). That triggers a reply far better than "did you receive my quote?".

4

Pairs with the Quotes tool

The follow-up is about a priced quote you created in the Quotes tool. Here, the Assistant writes the message; the quote itself stays managed in the Quotes tool (Pro and Agency plans).
