Write an appointment message

The Appointment message tool writes a clear message for you to confirm, reschedule or remind an appointment. It writes the text: it does not manage your calendar and blocks no slot. You will find it in your Client area, via Dashboard, then Trade Assistant.

Good to know. The trade Assistant is included from the Starter plan (the Solo plan gives access to the editorial kit only). Each generation uses 1 of your plan's monthly quota.

Open the trade Assistant and select your trade

Go to your Client area, via Dashboard, then Trade Assistant. First, select your trade from the list and click Save. This is what lets the agent write with the vocabulary and tone of your industry.

Tip. The quota counter at the top shows how many generations you have left this month. Each generation uses one, whatever the tool.

Choose the "Appointment message" tab

In the trade Assistant, open the Appointment message tab. Each tab is a dedicated writing tool.

Choose the message type and set the date

First choose what you want to do, then give the date, time and place of the appointment:

  • Confirm an upcoming appointment.
  • Reschedule to a new slot.
  • Remind of an appointment coming up.

What you choose

Remind · appointment tomorrow at 2pm, hair salon.

The suggested message

"Hello! A quick reminder of your appointment tomorrow at 2pm at the salon. Looking forward to seeing you, see you tomorrow!"

Tip. Be precise on the date and time: that is the info your client should catch at a glance in the message.

Generate the variants

Click Generate. The agent gives you several variants in seconds, so you can pick the one that sounds most like you.

Tip. Not sold on a variant? It is only a starting point, you will be able to adjust it in the next step.

Copy, regenerate or adjust the tone

Once you have spotted the right variant, you can:

  • Copy the text in one click.
  • Regenerate for new suggestions.
  • Adjust the tone: shorter, warmer, more direct.

All that is left is to use the text, by pasting it into your text message, email or chat.

Tip. You always have the final say. Nothing is sent or published automatically, the agent prepares the text, you decide when and where to use it.

Remind the day before

A well-worded reminder sent the day before clearly cuts down forgotten and missed appointments. Generate it in two clicks and schedule your send.

A reschedule needs care

Rescheduling can annoy. Adjust the tone to apologise simply and offer a new slot, so the client remembers the care, not the hiccup.

Always spell out the date

Give the day, time and place to the agent so they appear in black and white in the message. A reminder without a clear date is useless.

Text only, not a calendar

The tool writes the message; it does not block a slot and sends nothing on its own. You copy the text and send it when you decide.
